Terms and Conditions

Welcome to Copper Tutoring. These Terms and Conditions outline the rules, rights, and responsibilities for parents, guardians, students, and tutors using our services via our website (coppertutoring.co.uk) and our student management platform (TutorCore).

By scheduling a lesson or creating a TutorCore account, you agree to these terms. Please read them carefully.

1. Our Services

Copper Tutoring provides professional, targeted academic tuition tailored to your child’s needs. Lessons may be delivered in-person or online, as agreed upon booking.

All lesson management, scheduling, invoicing, and learning updates are handled securely through our bespoke portal, TutorCore, or via e-mail.

2. Bookings, Scheduling, and TutorCore

To ensure consistency and the best academic outcomes for your child, we operate on a structured booking system.

Account Creation: Parents and/or guardians will be given access to a secure TutorCore account. You are responsible for keeping your login details safe and ensuring your contact information is up to date.

Regular Slots: We aim to keep your child’s weekly lesson time consistent. Any permanent or temporary adjustments should be requested via TutorCore or directly by email.

Prerequisites: For online lessons, parents and/or guardians must ensure the student has access to a reliable internet connection, a working webcam, and a quiet space free from distractions.

3. Fees and Payment Terms

We believe in clear, upfront pricing with no hidden costs. Tutors set their own base fee which is discussed with parents and/or guardians on booking.

Invoicing: Invoices are generated automatically through TutorCore and sent to your registered email address.

Payment Schedules: Lessons must be paid for in advance. Payments are typically billed monthly or in blocks, and must be settled before the first scheduled lesson of that block.

Payment Methods: We process payments securely online via our integrated billing system (powered by Stripe). In some circumstances, payments may also be made via BACS / direct bank transfer. Please contact us directly if you need to arrange this. We do not store your full card details on our servers.

Late Payments: If an invoice remains unpaid by the due date, we reserve the right to pause future lessons until the balance is cleared.

4. Cancellations and Rescheduling

Because our tutors dedicate specific time slots to your child and prepare resources in advance, we enforce a fair cancellation policy.

Greater than 24 Hours’ Notice: If you need to reschedule a lesson and give us more than 24 hours’ notice, we will do our best to find an alternative slot within the same academic week, or issue a lesson credit on TutorCore.

Less than 24 Hours’ Notice: If a lesson is cancelled or missed with less than 24 hours’ notice, the full lesson fee remains payable, and no refund or makeup lesson will be issued.

Tutor Cancellations: If a tutor is unwell or unavailable, we will notify you as early as possible. You will receive a full lesson credit, refund, or the lesson will be rescheduled.

5. Safeguarding and Child Protection

The safety and well-being of your child is our absolute priority.

Vetting: All tutors working under Copper Tutoring hold a current, enhanced Disclosure and Barring Service (DBS) check.

Online Safety & Session Recording:

Online lessons are conducted via secure, private video links.

Copper Tutoring does not routinely record online lessons. The only exception is where an agency contracting with Copper Tutoring expressly instructs us to record a particular session for the agency’s stated purpose — in which case the agency is ordinarily the controller for that recording and Copper Tutoring acts only as its processor, under documented instructions and the applicable data-processing terms.

The student and tutor must keep cameras on throughout the lesson so both remain visible. Where disability or another substantial reason makes that unsuitable, Copper Tutoring will consider a reasonable, individually risk-assessed adjustment, agreed in advance. A parent, guardian or responsible adult aged 18 or over must remain at the student’s home (or other agreed location) and be reasonably contactable during the lesson.

Both students and tutors must keep their webcams turned on at all times during the lesson. We cannot conduct a session if the student’s camera is turned off, unless an adjustment has been agreed as described above.

Our session recording, camera, and WhatsApp/text messaging rules are strictly governed by our Child Protection and Safeguarding Policy, which parents must review and accept during onboarding.

Parental Presence:

For online lessons, an adult must be present in the home for the duration of the session.

For in-person home visits, a parent or designated guardian over the age of 18 must remain on the property at all times. Tutors are not permitted to be left alone in a house with a minor.

6. Code of Conduct and Student Behavior

To get the most out of every session, we promote an environment of mutual respect.

Students are expected to arrive on time, bring any required materials, and display a positive attitude toward learning.

To protect the privacy and intellectual property of our tutors and the privacy of your child, absolutely no external recording, filming, or taking of screenshots/photos of the lesson is permitted by students or parents.

Bullying, inappropriate language, or consistently disruptive behavior will not be tolerated. If a lesson has to be terminated early due to poor behavior, the lesson will still be charged in full, and we will discuss future steps with the parent and/or guardian.

7. Data Protection and Privacy

We take your family’s data privacy very seriously.

Any personal data provided to us (names, emails, student academic records, progress notes) is strictly protected in accordance with the UK GDPR and Data Protection Act 2018.

Your data is used solely for scheduling, billing, tracking academic progress, and communication via TutorCore. We will never sell or share your information with third parties for marketing purposes.

For more information on how we handle, store, and secure your data, please see our separate Privacy Policy.

Copper Tutoring is registered with the Information Commissioner’s Office, registration number ZC228367.

8. Limitation of Liability and Guarantees

Academic Progress: While our tutors are qualified experts dedicated to unlocking your child’s full potential, academic success depends on many external factors (including school attendance, exam day conditions, and independent study). Therefore, Copper Tutoring cannot guarantee specific exam grades or school placements.

System Availability: While we build and maintain TutorCore to the highest standards, we cannot guarantee uninterrupted access to the platform due to internet service disruptions or necessary technical maintenance.

9. Your statutory right to cancel

Where your contract with Copper Tutoring is made online, by telephone, by email, or away from our business premises, the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 give you a 14-day cancellation period, beginning the day after the contract is made. You may cancel within that period by any clear statement — you don’t need to use a specific form.

If you expressly ask us to begin tuition during the cancellation period and then cancel, you may have to pay a proportionate amount for tuition already supplied up to cancellation. If you ask us to fully perform the service within the cancellation period and acknowledge that doing so means your cancellation right ends once the service is complete, your statutory cancellation right may then cease.

Nothing in our lesson cancellation policy (24-hour notice, etc., set out above) reduces this statutory right.

10. Changes to These Terms

We may occasionally update these terms to reflect changes in our services, platform features, or UK legal requirements. If we make any significant changes, we will notify you via email or through a notification in your TutorCore dashboard at least 14 days before the updates take effect.
